Ovenly ("we", "us", "our") provides an AI phone ordering service for hospitality venues. We respect your privacy and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, and how we look after it.
Who this policy covers
This policy applies to two groups: the venues that use Ovenly as a service, and the customers of those venues who interact with Ovenly when they call a participating venue.
Information we collect
Depending on how you interact with us, we may collect:
- Call information: when a customer calls a venue that uses Ovenly, we process the audio of the call and a transcript of the conversation in order to take the order or booking.
- Order and booking details: items ordered, pickup or delivery preferences, booking times, and related notes.
- Contact details: name, phone number, and where relevant a delivery address, provided during the call.
- Payment information: where payment is taken over the phone, it is processed by our third party payment provider. We do not store full card numbers ourselves.
- Enquiry details: if you contact us through our website, the information you submit in the form.
- Technical data: standard website analytics such as pages visited and device type.
How we use your information
- To answer calls and take orders or bookings on behalf of participating venues.
- To process payments and send confirmations.
- To maintain a customer record for the venue, including order history.
- To operate, maintain and improve the Ovenly service.
- To respond to enquiries you send us.
- To meet our legal and regulatory obligations.
Call recording and transcripts
Calls handled by Ovenly may be recorded and transcribed so the order can be taken accurately and for quality and training purposes. Where required, participating venues are responsible for notifying callers that calls may be recorded. If you do not wish to continue on a recorded line, you can end the call and contact the venue by another method.
Disclosure of information
We may share information with:
- The venue you are ordering from, so they can fulfil your order or booking.
- Service providers who help us run Ovenly, including cloud hosting, AI voice processing and payment processing providers.
- Authorities where we are required to do so by law.
We do not sell your personal information.
Overseas disclosure
Some of our service providers may store or process data outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.
Data security
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including encryption in transit and access controls. No system is completely secure, but we work to protect your data and review our practices regularly.
Accessing and correcting your information
You may request access to the personal information we hold about you, or ask us to correct it, by contacting us at the details below. We will respond within a reasonable time.
